Med spa software for 2–5 providers
At 2–5 providers, the decision is rarely “which platform has the most features?” The useful question is which system fits your actual clinical depth, operating complexity, budget, migration risk and growth plans without forcing you into unnecessary software.
Check your practice →Start with your hard requirements first: e-prescribing, clinical charting, consent, before/after photos, injectable lot tracking and any patient-level recall requirements. Then compare softer trade-offs such as support, migration, contract flexibility, marketing, memberships, inventory and integrations.
Why 2–5 provider practices are awkward to compare
You are past the solo-practice stage, but may not need an enterprise platform. Recent owner discussions repeatedly describe analysis paralysis because vendor demos and feature lists look similar; support quality, migration help and contract terms often become the deciding factors. Switching discussions also show that day-to-day workflow friction and data migration can matter as much as headline features.
What to decide before booking demos
- Clinical depth: Do you need basic booking and forms, or true clinical charting, e-prescribing and injectable workflows?
- Migration: If you are switching, exactly which client profiles, forms, treatment history, photos, memberships and packages must transfer?
- Growth: Will the practice remain one location, or are you planning a second location?
- Operations: Are memberships, inventory, CRM/marketing and integrations central to how you make money?
- Commercial terms: Compare total first-year cost, add-ons, implementation, contract length and cancellation terms—not just the advertised monthly price.
Platforms in the current calculator
The calculator currently evaluates AestheticsPro, Mangomint, PatientNow, Phorest, Vagaro and Zenoti. It uses hard requirements before soft ranking and exposes evidence gaps instead of treating every vendor claim as equally verified.
Compare them for my practice →Questions worth asking every vendor
Ask vendors to demonstrate your real workflow rather than presenting a generic feature tour. If switching, use a sample migration scenario. If injectables matter, ask them to show lot/batch documentation and, where required, how a recalled lot can be traced to affected patients and remaining stock. Confirm current plan-level availability and pricing directly with each vendor.
